Why You Need a Checklist, Not Just Demos

MBy now, most leading cloud ERPs can handle the basics: general ledger, AP/AR, purchasing, and inventory. That means surface-level feature comparisons rarely identify a clear winner.

Analyst guidance increasingly stresses that ERP selection should focus on business model compatibility, integration, cloud maturity, and functional fit—not just who has more checkmarks in a feature matrix (Nucleus Research, 2021; Panorama Consulting Group, 2025d). 

A structured checklist keeps your team anchored on what matters:

  • Your real-world processes and constraints
  • Total cost and ROI expectations
  • Strategic fit for where the business is heading

Here is a practical four-part checklist you can use to compare NetSuite and Acumatica (or any ERP).

1. Functional Fit: Does It Run Your Business?

ERP selection guides consistently place functional fit at the top of the list. If the system cannot natively support your critical processes and industry requirements, you will pay for it in customizations, workarounds, or failed adoption (Armanino, 2025; Deloitte, 2024). 

Questions to ask:

  • Does the ERP support your core cycles—order-to-cash, procure-to-pay, record-to-report—in a way that matches your reality?
  • What industry functionality exists for your vertical (e.g., manufacturing, distribution, construction, services)?
  • How configurable are workflows and approvals without code?

NetSuite is often strong for complex multi-entity financials and global operations, while Acumatica is frequently recognized in SMB ERP value matrices for industry-specific depth and usability in distribution, manufacturing, and construction (Nucleus Research, 2022; Rand Group, 2025b).

2. Technical Fit: Integration, Cloud Architecture, and Scalability

Choosing an ERP is as much about architecture as it is about functionality.

Modern ERP buyers are advised to focus on:

  • True cloud architecture versus hosted legacy systems
  • API maturity and integration tools
  • Performance and scalability at expected transaction volumes (Panorama Consulting Group, 2025d; ICS Cloud Solutions, 2020).

Checklist points:

  • Is the platform genuinely cloud-native with regular updates, or a legacy system ported to the cloud?
  • Are there proven integrations with your CRM, eCommerce, WMS, or other key systems?
  • What performance and scalability benchmarks can the vendor or partner share?

Both NetSuite and Acumatica are positioned as modern cloud ERPs. NetSuite emphasizes an integrated suite with a large ecosystem of ISV partners, while Acumatica emphasizes openness, modern APIs, and flexible deployment options, especially attractive to mid-market organizations (Nucleus Research, 2023; Inteltech, 2024).

3. Financial Fit: Total Cost of Ownership and Licensing

ERP is a long-term financial commitment, so you need to evaluate total cost of ownership (TCO) rather than just year-one subscription quotes.

Panorama Consulting Group notes that TCO includes not only software and implementation, but also integration, support, training, and change management (Panorama Consulting Group, 2025c). Nucleus Research’s work on ERP ROI underscores that, when these costs are managed well, cloud ERP can pay for itself relatively quickly (Nucleus Research, 2019).

Checklist points:

  • What are the line-items in TCO over a 3–5 year horizon (licenses, services, internal time, integrations, support)?
  • How does each vendor’s licensing model scale with more users and entities?
  • What payback period and ROI range are realistic for your situation?

NetSuite typically uses a per-user, module-based SaaS pricing model aligned with mid-market and enterprise deployments. Acumatica’s resource-based licensing can be advantageous for organizations that want many users in the system without per-user penalties (Acumatica, 2024). 

Tie these economics directly into an ROI model based on your anticipated labor savings, error reduction, inventory improvements, and growth enablement (Rand Group, 2025a; Panorama Consulting Group, 2025a). 

4. Strategic Fit: Will It Still Be Right in Five Years?

Finally, your ERP decision should align with where the business is going—not just where it is today.

ERP research and selection guides recommend evaluating:

  • Fit with anticipated changes in your operating model (Panorama Consulting Group, 2025d; Deloitte, 2024).
  • Vendor roadmap and innovation (e.g., AI, analytics, automation)
  • Strength of the partner and ISV ecosystem in your region and industry

Checklist points:

  • How does the vendor articulate its roadmap for your industry segment?
  • Are there experienced, independent partners who can support you long-term?
  • How difficult would it be to migrate off the platform if your strategy changes?

Both NetSuite and Acumatica appear regularly in independent analyses and value matrices, but they are optimized for slightly different sweet spots. The key is aligning the platform to your strategy, not vice versa.

    How to Use This Checklist in Your Evaluation

    To make this checklist operational:

    1. Weight each dimension (functional, technical, financial, strategic) based on your priorities.
    2. Build a scoring matrix and use it to rate NetSuite and Acumatica after each workshop or demo.
    3. Design scenario-based demos that directly test high-weight items rather than generic product tours (Deloitte, 2024; Armanino, 2025). 
    4. Translate differences in fit into differences in ROI, using realistic assumptions about adoption and process change (Nucleus Research, 2019; Panorama Consulting Group, 2025a).

    A structured evaluation like this gives you a defensible way to choose between NetSuite and Acumatica—and it creates the foundation for a CFO-ready business case.
